2. What data we collect and why

2a. When using the tool (no account required)

When you use the Check a School or Plan My List features, your postcode is temporarily processed to calculate a map position and distance. This data is not stored. No personal data is retained after your session ends.

2b. Waiting list tracker (admin-entered data)

The waiting list data displayed on this site contains only: school name, admissions category, waiting list position, and date. This data is entered by us from publicly available council sources. It contains no personal data.

2c. When you create an account

When you register for an account we collect:

  • Email address — to identify your account
  • Approximate location (fuzzed to ±50 metres) if you choose to contribute a waiting list position — to calculate distance to school
  • Waiting list position, date, school, and category — to contribute to trend data

We never collect your name, your child's name, your child's school reference number, or your exact address.

3. Legal basis for processing

For tool usage: legitimate interests (providing the service you have requested).

For account data: consent, which you may withdraw at any time by deleting your account.

4. How long we keep your data

Tool usage data: not stored.

Account data: retained while your account is active. Deleted within 30 days of account deletion request, except for anonymised aggregate data which may be retained indefinitely (this cannot identify you).

5. Your rights under UK GDPR

You have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Delete your data (right to erasure)
  • Download your data (data portability)
  • Object to processing
  • Withdraw consent at any time

For complex requests we may extend our response time to 90 days — we will notify you within the first 30 days if this applies.

To exercise any of these rights email hello@incatchment.com. We will respond within 30 days (usually much sooner).

If you are unhappy with how we handle your data you have the right to complain to the ICO at ico.org.uk.

6. Data sharing

We do not sell personal data. We do not share personal data with advertisers. We may share anonymised, aggregated data (which cannot identify individuals) with third parties such as researchers, local authorities, or commercial partners.

Our hosting provider (Vercel) and database provider (Neon) process data on our behalf under data processing agreements compliant with UK GDPR.

7. Cookies

We use essential cookies only — required for the site to function (for example, keeping you logged in). We do not use advertising or tracking cookies without your explicit consent. See our Cookie Policy for full details.

8. Changes to this policy

We will notify users of material changes to this policy by email (where we hold your email address) and by displaying a notice on the site. The date at the top of this page shows when it was last updated.
